Terms of Service

1. Acceptance of Terms

These Terms of Service ("Terms") govern your use of the Roomleo platform, website, booking engine, APIs, and related services (collectively, the "Services").

By creating an account or using the Services, you agree to be bound by these Terms.

If you do not agree, do not use the Services.


2. About Roomleo

Roomleo is a cloud-based Property Management System (PMS) that helps accommodation providers manage reservations, guest information, payments, accounting integrations, self check-in, and related hospitality operations.

Roomleo provides software only. We are not a hotel, hostel, travel agency, or accommodation provider.


3. Eligibility

You must be at least 18 years old and legally capable of entering into contracts to use the Services.

If you create an account on behalf of a company or accommodation provider, you represent that you have authority to bind that organization.


4. Your Account

You are responsible for:

  • Maintaining accurate account information
  • Keeping your login credentials secure
  • All activity occurring under your account
  • Promptly notifying us of unauthorized access

5. Subscription Services

Certain features require a paid subscription.

Subscription fees, billing cycles, and pricing are displayed before purchase and may change upon reasonable notice.

Failure to pay applicable fees may result in suspension or termination of Services.


6. Payments

Roomleo uses third-party payment processors, including Stripe.

Payment processing services are subject to the terms and privacy policies of the applicable payment provider.

Roomleo does not store complete payment card information.


7. Customer Responsibilities

You are responsible for:

  • Complying with all applicable laws
  • Maintaining required licenses and permits
  • Collecting guest information lawfully
  • Obtaining any legally required guest consents
  • Verifying guest identity where required
  • Maintaining accurate reservation records

Roomleo provides software tools but does not provide legal or regulatory compliance advice.


8. Guest Data

Accommodation providers retain ownership of guest information entered into Roomleo.

You grant Roomleo permission to process that information solely for providing the Services.

You remain responsible for responding to guest requests relating to privacy, access, correction, or deletion where required by law.


9. Acceptable Use

You agree not to:

  • Use the Services for unlawful purposes
  • Attempt unauthorized access
  • Upload malicious software
  • Interfere with system security
  • Reverse engineer the platform except where permitted by law
  • Circumvent subscription or licensing controls

10. Availability

We strive to provide reliable Services but do not guarantee uninterrupted availability.

Maintenance, updates, network issues, or third-party outages may occasionally affect availability.


11. Third-Party Integrations

Roomleo integrates with third-party services including:

  • Stripe
  • QuickBooks
  • Channex
  • Email providers
  • Cloud infrastructure providers

Roomleo is not responsible for outages, policy changes, pricing changes, or service interruptions affecting third-party providers.


12. Intellectual Property

The Roomleo software, branding, logos, documentation, and related materials are owned by Roomleo and protected by applicable intellectual property laws.

Subject to these Terms, Roomleo grants you a limited, non-exclusive, non-transferable license to access and use the Services during your subscription.

No ownership rights are transferred.


13. Feedback

Any suggestions, ideas, or feedback submitted to Roomleo may be used without restriction or compensation.


14. Data Security

Roomleo implements commercially reasonable administrative, technical, and organizational safeguards to protect customer information.

However, no internet service or computer system can be guaranteed completely secure.


15. Service Changes

We may add, modify, suspend, or discontinue features at any time.

Where practical, we will provide advance notice of material changes.


16. Suspension and Termination

We may suspend or terminate access if you:

  • Violate these Terms
  • Engage in fraudulent activity
  • Fail to pay subscription fees
  • Use the Services in a manner that threatens security or stability

You may stop using the Services at any time.


17. Disclaimer of Warranties

The Services are provided on an "AS IS" and "AS AVAILABLE" basis.

To the maximum extent permitted by law, Roomleo disclaims all warranties, whether express or implied, including warranties of merchantability, fitness for a particular purpose, and non-infringement.


18. Limitation of Liability

To the fullest extent permitted by law, Roomleo shall not be liable for:

  • Indirect damages
  • Consequential damages
  • Lost profits
  • Lost business opportunities
  • Loss of goodwill
  • Loss of data

Roomleo's total liability arising from the Services shall not exceed the subscription fees paid by the customer during the twelve (12) months preceding the event giving rise to the claim.

Nothing in these Terms limits liability where such limitation is prohibited by applicable law.


19. Indemnification

You agree to indemnify and hold harmless Roomleo, its officers, employees, and affiliates from claims arising from:

  • Your use of the Services
  • Your violation of these Terms
  • Your violation of applicable laws
  • Your handling of guest information

20. Governing Law

These Terms are governed by the laws of the jurisdiction in which Roomleo is incorporated, without regard to conflict of law principles.


21. Changes to These Terms

We may update these Terms from time to time.

Continued use of the Services after updated Terms become effective constitutes acceptance of those changes.
